Preserve ownership and source visibility

  1. Confirm the source

Open the related Case or permitted source record and verify that every proposed assignee can view the material needed for the work.

Check: No assignment widens access to a source that a participant could not otherwise view.

  2. Set responsibility

Choose a saved or custom squad, owner, deadline, approval rule, and clear task description without copying unnecessary restricted evidence.

Check: The workboard shows an owner and a defined completion requirement.

  3. Review the handoff

Use claim, delegate, replace, evidence, comment, approval, and close history to document changes in responsibility.

Check: The final assignment record explains who handled the task, what was reviewed, and who approved it.

Import only the selected cloud file

When enabled, an authorized user can connect Google Drive or Microsoft 365 through OAuth, browse permitted files, and copy a selected file into assignment evidence. ModFlow stores encrypted provider tokens and connection metadata needed for the connection; the imported file becomes a separate ModFlow evidence copy.

Cloud connection controls
ControlEffect
Provider scopesLimit listing and reading to the permissions requested by the active integration; provider account policy still applies.
Disconnect or revokeStops future access after provider processing catches up; it does not retract files already imported as evidence.
Source visibilityA connected account never bypasses ModFlow assignment, Case, evidence, or participant permissions.
Correction or deletionThe provider original and the ModFlow evidence copy may require separate requests or actions.
A provider file is unavailable or the connection expired

What you see: The picker cannot list a file, an import fails, or the account needs authorization again.

What may be happening: Provider consent, refresh-token state, file permission, account policy, quota, or ModFlow feature access changed.

What to do

  1. Reconnect through the dashboard authorization flow without sharing tokens or credentials.
  2. Confirm the connected account can access the exact file and that the assignment viewer has source permission.
  3. Reselect only the intended file and verify the resulting evidence copy before deleting or disconnecting anything.
